AI automation
Emails, PDFs, forms and voice notes turned into rows, reminders, invoices and alerts. AI handles the messy reading; plain workflow tools move the data; a person approves the steps that matter.
The copy-paste hours nobody budgets for.
- Typing the same data twice Orders arrive by email and someone types them into a sheet, then again into the accounting software.
- Reminders that depend on memory Payment, renewal and follow-up reminders go out when someone remembers, if they remember.
- Documents piling up Invoices, receipts and forms arrive as PDFs and photos, and reading them takes hours every week.
- Reports built by hand Every Monday someone exports three files and pastes them into one report.
Jobs a workflow does before you arrive.
- Inbox to sheet Orders, leads and requests read from emails and forms and written into a sheet or your system, with the original attached.
- Document reading Invoices, receipts and forms read into fields, checked for totals and dates, and sent for approval.
- Reminders and follow-ups Payment, renewal and appointment reminders sent on time by WhatsApp, SMS or email, with replies tracked.
- Scheduled reports Data pulled from several systems every morning and turned into a short summary for the team.
Picking, building and trusting a workflow.
- List the repeated tasks Everything the team does by hand every day or week, scored by frequency, clarity and risk.
- Pick the first one Frequent, rule-based and cheap to get wrong: the task that pays back fastest.
- Build the workflow Triggers, steps and checks set up in a workflow tool, hosted wherever suits you.
- Add AI only where needed Reading free text, PDFs or voice notes, with every output validated before it is used.
- Approve, then trust At first a person approves each run; once approvals are almost always yes, routine cases run alone.
- Alerts and logs Every run is logged and any failed step sends an alert the same day.

Questions
Which tools can you connect?
Most things with an API or an export: email, Google Workspace, Microsoft 365, accounting software, CRMs, couriers, payment gateways and WhatsApp Business.
How do we know a workflow did its job?
Each run leaves a log you can open: what came in, what was extracted, what was approved and what was sent. Weekly summaries show runs and failures.
Can staff change a workflow themselves?
Simple changes such as message wording, recipients or schedules, yes. We document each workflow and show the team where those settings live.
What does it cost each month?
Usually just the hosting for the workflow tool and any per-use charges for AI steps, estimated from your volume before we build.
